Why Most Notion Templates Disappoint
A pretty screenshot, an empty workspace
Most template listings show a populated dashboard, then hand you blank databases. This one ships with 157 rows of one coherent studio's data, so every view has something to show on day one and you can see how the pieces connect before you delete it.
The links quietly do not survive import
Notion's CSV import cannot carry relation, rollup or formula properties. Most packs never mention this, and buyers discover it after paying. We say it on the pricing page, and the setup guide maps all 11 relations with the exact seed column that lets you rebuild each one.
No way to tell if you set it up right
Every formula in the guide comes with an expected value taken from the sample data. You paste the formula, compare it against the number already in the imported column, and only then delete the static column. If it does not match, you know immediately.
Import. Rebuild the links. Delete the samples.
Full setup takes about 60-75 minutes, or 20 minutes for the minimum path described in section 12 of the guide. Both routes are written out step by step, and the manual route always works.
What's in the System
Clients & Proposals
17 client rows including 3 lost leads, and 14 proposals with weighted pipeline values. Every proposal points at a client that actually exists — referential integrity is checked by a validator, not by eye.
Projects & Tasks
16 projects and 36 tasks with status enums, owners, due dates and budget fields. Task rows carry the exact project title as a seed column so the relation can be rebuilt in one pass.
Time & Invoicing
24 time entries and 18 invoices. Amounts are arithmetically exact: hours × rate, subtotal → tax → total → balance. Paid rows have a paid date and zero balance; unpaid rows deliberately have neither.
Expenses, Meetings & Notes
18 expenses and 14 meeting notes, both linked to clients and projects, so the monthly close checklist has real data to close against.
12 SOP & Checklist Pages
Onboarding, kickoff, quoting, contract essentials, weekly review, monthly close, 11 client communication scripts, scope creep and change orders, billing rules, handoff, and a late payment playbook. 140 checkboxes become real Notion to-dos.
The Setup Guide
3,337 words: import order, the 11-relation map, property types per database, 9 rollup configurations, copy-paste formulas each with an expected value, a troubleshooting section, and a 20-minute minimum path.
